Executive Assistant and Office Manager
City Hive is looking for an experienced Executive Assistant to work closely with the CEO. We are seeking a motivated individual to support our executive and office functions. This will include, but not be limited to, assisting with schedule coordination, travel scheduling, and office management. You will also work with the team on special projects such as team offsites, networking events, and workshops.
This is a part-time, in-office role in our New York City office (as a general rule, we are in the office at least four days each week). You would need to be available during the first half of the day (e.g., 9AM – 2PM EST).
Must be fluent in Hebrew and English (written and verbal).
In this role, you will
- Manage CEO’s calendar, including scheduling meetings, coordinating appointments, and ensuring efficient time management
- Handle internal and external communications, including email management and correspondence
- Coordinate travel arrangements and prepare detailed itineraries for the CEO and other team members
- Organize and maintain documentation, files, and records
- Plan and coordinate meetings, including board meetings and executive team sessions
- Prepare and edit presentations, reports, and other business documents
- Serve as a liaison between the CEO and internal/external stakeholders
- Handle confidential information with utmost discretion
- Assist with special projects as needed
Qualifications
- Experience as an Executive Assistant, preferably in a technology or startup environment
- Fluent in Hebrew and English
- Exceptional organizational and time management skills and strong attention to detail
- Strong proficiency in Google Workspace
- Outstanding written and verbal communication abilities
- Handle confidential information with discretion
- Professional demeanor and presentation
